Files live alongside your records rather than in a separate drive. Anything you attach to a document also shows up in the workspace’s media library, where it can carry fields of its own.
Attaching files to a document
Add a File field to a model and you can upload to it from any document of that model. Images get thumbnails generated automatically, so lists and galleries stay readable without opening anything.
Re-uploading over a file keeps the previous bytes intact behind the scenes, so a version snapshot taken before the replacement still shows what it showed at the time — see version history in Working with documents.
The media library
Media in the sidebar is every file in the workspace in one place, whichever document it was attached to. You can:
- switch between a grid of thumbnails and a table
- sort by filename, type, size or upload date
- search by filename, by the file’s own field values, by the documents it is attached to, and by the text inside it (see below)
- open a file to see which documents use it
Files can also carry their own fields. If you want a photographer, a licence and a shoot date on every image, define those once and fill them in from the media library — they belong to the file, so they follow it wherever it is attached.
Searching the text inside images
When image text recognition is switched on for your Simplist instance, every PNG, JPEG, WebP and GIF you upload is read in the background and the text found inside it becomes searchable — both from the media library’s search box and from workspace-wide document search. A screenshot of an invoice becomes findable by the invoice number printed in it, and a document with that screenshot attached in a File field becomes findable the same way.
Processing happens in the background, usually within a minute of upload (longer when you upload a large batch at once), and images that were already there are picked up automatically. The recognised text is used for searching only; it is not displayed. SVG images and PDFs are not read, and neither are images placed inside a rich document. If the feature is not enabled on your instance, the media library still finds files by name, by their fields and by the documents they are attached to — just not by the words inside them.
Storage
File bytes are stored in object storage rather than in the database, so attaching large files does not slow the rest of the workspace down. There is no separate storage tier to pick. What the Free plan caps is content — documents, models, and fields per model — shown in the Plan section of workspace settings; paid plans remove those caps. A plan is yours rather than a workspace’s: one subscription covers every workspace you own, and the Free caps are counted across all of them. Collaborators are never capped on any plan.
